The challenge

Antarctica New Zealand needed to replace a key piece of software that helped the team plan, prepare for and manage operations down on the ice. The organisation had gone to market via a standard government RFP procurement process, but needed some support in assessing the responses received.

The solution

The first part of the solution was to quickly understand the key aspects that would make the project a success, then create a ‘traffic light’ evaluation framework that sorted and scored responses against these key metrics. This produced a short list of potential vendors and technologies. The standard procurement process was then changed to allow all the potential short-listed vendors the opportunity to come in for two hours and present their proposed solution – this gave Antarctica New Zealand the chance to meet the people and get a better sense of what the working relationship would be like. Finally, a preferred vendor was chosen to start a ‘discovery’ process – with clear off-ramps put in place if necessary.
